The Conditions of Hire (see below)
have recently been revised and are available from
the Bookings Secretary on 07759 890696.
The Committee reserve the right to vary these conditions at their discretion,
please check with the bookings secretary.
Note: Rose Earp has taken on the role of bookings secretary as from 14/10/02,

Private functions: £10 per hour.
Local organised groups and young children's parties: £5 per hour.

HALL LOCATION
The Village Hall is centrally located on the main
Henley Road through Sandford,
(between Church Road and the Four Pillars entrance)
adjacent to the sports field.

Note: by turning right outside the hall:-
The Fox pub is just up the road almost opposite the turn to Church Road.
The Catherine Wheel pub is a little further, on the right, just past the turning to Church Road.
Hall Facilities
The hall has been recently re-decorated, with a new ceiling and lighting,
the kitchen has also been refurbished, and the whole hall is now light and airy.
The main entrance-way, (which has toilets to the side - with disabled access),
leads into the main hall, which has windows along one side providing a view across the sports field.
The opposite side, next to the doorway, has an alcove 'stage area', adjacent to which is the kitchen.
The hall is large enough for over one hundred people, and there are sufficient chairs and tables to go round.
At the far end of the hall is the kitchen, which is quite new, and has a servery access on to the main hall.
There is a tarmac area alongside the hall provides ample car parking.
Nearby there are two pubs which can help with a temporary bar (see below).
Note: There is no phone at the hall, the nearest phone box is in on the corner of Church Road.
The Village Hall Committee
The Hall is run by a Committee, which is responsible for its proper
use and maintenance.
The Village Hall is run as a Charity to provide a place for recreation
and meetings for the people of the Parish.
The aim is to have the Hall used as widely as possible, within the limits
set by the Deed of Trust that established it, the Charity Commission and
the Parish Council.
The Committee members are all volunteers and are currently:
Charlie Wilson (Chairman).
Paul Daglish (Hon Treasurer).
Liz Shatford (Hon Sec).
Louise Rogers.
Nicky Ricketts (Toddlers Group).
As well as doing their specific jobs,
the Committee try collectively to run the Hall
the way the Village want it to be run.
Meetings are held approximately monthly and are open to observers;
the dates will be posted on the notice-board.
The aim is to expand the Committee
to make sure that it represents the Village and the people who use it,
and so therefore, we are always looking for more members.

Currently there are plans to: improve the patio area;
provide kiddies tables and chairs for parties and play groups;
and expand the area available for basketball,
to keep it away from the car-parking area.

History of the Village Hall
HALL OPENING
Joyce Rolston, a Parish Councillor of some 27 years standing,
opened the new Village Hall on Saturday 19th September 1981.
The official opening was marked by the unveiling of a plaque
and a clock presented by the Jubilee Committee.

The hall replaced the old 'Reading Room' which used to stand on
the corner of Church Road.
READING ROOM CLOSED
The Christmas Bazaar was the last function to be held
in the Reading Room. As from 30th November 1981 the
lease has been given up and the Room handed back to
Magdalen College.

FORGET-ME-NOTS
Thirty three members had a Christmas Dinner in the Village Hall on 8th December.
Wine was donated for the dinner by the Youth Club.
Afterwards a film show was put on and narrated by Mr.Dennis Coombes, of Littlemore.
A tree was planted by Mr. A. Robinson and Mr. R. Crickmay to commemorate the
opening of the Village hall. Tea, mince pies and a free raffle ended a very enjoyable Party.

SANDFORD-ON-THAMES VILLAGE HALL CONDITIONS OF HIRE |

Sandford-on-Thames Village Hall exists for the use of people of the Parish. It is run as a
Charity* by a volunteer committee, who are responsible for its proper use and maintenance. |

|
CONDITIONS OF HIRE |
|
| 2. |
Who may hire the Hall. The Hall may be hired by anyone who is both: |
| a. | Resident in the Parish. |
| b. | 18 years of age or over on the date of hiring. |
|
The Hall may be hired by someone who satisfies these conditions on behalf of someone who does not,
but the hirer remains responsible for fulfilling the conditions of use. Cheques for the hire or deposit
must be in the name of the hirer. |

What the Hall may be used for. The Hall may be hired for: |
| a. | Recreation and leisure, such as birthday parties or clubs. |
| b. | Meetings, lectures and classes, such as keep fit. |
| No restrictions are made on the basis of race, politics, religion or other distinction. |
| 4. |
Conditions of Use. The conditions below apply to all bookings. Failure to comply may result
in the loss of all or part of the deposit paid and not being allowed to hire the hall again. |
| a. |
Fees. The fee and deposit must be paid in full at the time of booking. Current rates are: |
| |
0800 - 1800 for children's events: £5.00 per hour or part; £50.00 deposit. |
| |
0800 - 1800 all other events: £10.00 per hour or part; £100.00 deposit. |
| |
1800 - 2330: £10.00 per hour or part; £100 deposit. |
| |
All day: £75; £100 deposit. |
| |
The Committee reserve the right to vary these rates at their discretion. |
| b. | Times.
| | | 1) | The Hall may be hired for periods from 8 am - midnight. |
| | 2) | The Hall will normally be available one hour before the start of the hire period for
setting up. There will be no charge for this period. A longer setting-up period may be
possible in consultation with the Booking Secretary, but there might be a charge. |
| | 3) | Any bar must be closed at 11 pm. |
| | 4) | Any music or PA system must be switched off by 1130 pm. |
| | 5) | The Hall and its car park must be clean and secure, as described below, by midnight. |
| | The Committee reserve the right to vary these times at their discretion. |
| c. |
Cleanliness. The Hall will be clean and tidy when handed over for hire; any complaints
about its state must be made at the start of the "setting-up period" outlined above. It must be
handed back in a similar condition. Rubbish must be tied up in the bags provided and left outside. |
| d. |
Security. The Hall should be left with: |
| | 1) | The central heating off (see instructions in Hall). |
| | 2) | All lights off. |
| | 3) | All windows shut and locked. |
| | 4) | All internal doors shut. |
| | 5) | All external doors shut and locked. |
| | 6) | The gate padlocked shut. |
| e. |
Charging. If people are being charged to come to whatever the Hall is hired for, the
Committee may ask for a set of accounts for the event. |
| f. |
Sale of Alcohol. If alcohol is to be sold, this must be arranged through either The Fox
or The Catherine Wheel Public Houses in Sandford. |
| 5 | How bookings are made. |
| Bookings are made through the Bookings Secretary, who may be contacted on 07759 890696.
| |
Once the availability of the Hall is confirmed, a booking form will be sent to the hirer. It
must be completed and returned to the Treasurer, with the fee and deposit, in the envelope provided. |

The Treasurer will return a copy of the form, which acts as a receipt, and this will allow the
hirer to collect the keys. |
|
The deposit, minus any charges, will be returned by post. |
|
| HEALTH AND SAFETY |

The Hall is as safe as can reasonably be expected. It is the responsibility of the hirer to ensure
that it is used safely. In particular: |
| | Instructions for the use of the heating and cookers must be strictly complied with. |
| | The number of people in the Hall must not exceed 120 at any one time. |
| | Children must be supervised. |
